MLM Database Software



MLM Database What is a MLM database? And how does it work? A MLM database is an organized, systematic way to generate, track and follow-up with your prospects, customers and downline distributors. In essence, it’s a business system. It is a business tool that allows you to work smart. It allows you to keep pertinent information in one place, so you know when and how to follow up with people.

Critical Information

What information should you keep in your database? At a minimum, you should keep the information in your database:

Category: Your categories normally include distributor, prospect or customer.

Full Name: Enter the person’s first, nickname, and last name.

Contact Information: This should include their phone number and email.

Address: Indicate the best address to send information too. This can be a business address or residential address.

Lead Source: Indicate how you met the person. For example, were they an online lead? Or did you meet them in person?

Last Follow Up Date: Every time you follow up with the person, you should write the date. That way, you will always know when you last contacted the person.

Purchase History: If they are a customer, you should record when they placed their last order. That way, you know when to follow-up with them again.

Favorite Products: Identify their favorite products (if they are a customer).

Key Information: If your contact is a downline distributor, you should input their business anniversary date, business goals, spouse name, etc.

Having all of this key information in one place is very important. You need something you can reference to get this information, without taking 20 or 30 minutes to search your entire office. If you have all of this key information in one place, you will save yourself lots of time. Does that make sense?

Building Your Database

What’s the best way to get started with your MLM database? If you are computer savvy, you can use a simple Excel Spreadsheet to track this information. You would simply create a page for customers, one for prospects, and one for your downline. You would create a column for name, one with contact information, one with their address, lead source, etc. Whenever you met someone new, you would add them to your database.

On the other hand, if you are old-school, you can use simple 3 x 5 cards and a file box. This is my favorite technique. You simply create a 3 x 5 card for each person you meet and update it regularly. Finally, if you are really computer savvy, you can subscribe to different software programs that serve as a MLM database. For a nominal monthly fee, you can have access to a web-based database that allows you track the same information. Whatever method you choose is fine. Your key to success is to find a method you are comfortable with and stick to it.

One you choose which type of MLM database you want to use, you need to input all of your current prospects, customers and downline distributors. This might take a little bit of time, but it will be worth it in the long run. Next, you should create a simple one-page questionnaire or information sheet. Whenever you meet someone new, (prospect, customer, or new distributor) you should fill out the information sheet and then input the information into your database. By doing so, you will keep your database up to date.

Once you have your own database, your key to success is to use it wisely. You need to know WHEN to follow up with people. You need a standardized way to track everything, from customer orders, to distributorship renewals. Obviously, this is easier to do on some type of automated MLM database, than with an index file.

Final Thoughts

In conclusion, all top distributors use some type of MLM database. The purpose of their database is to track prospects, customers and downline distributors. Their database allows them to work efficiently and keep in touch with everyone in their sales organization on a regular basis. If you don’t already have your own database, you should create your own. Your options include software programs, a simple Excel Spreadsheet or 3x5 cards stored in an index file. Good luck!
